Create and assign tasks

Assign work to your crew or subs and track it to done.

  1. 1Open the project and go to the Tasks tab.
  2. 2Click New Task.
  3. 3Add a title and description, set a priority and due date, and assign it to a person.
  4. 4Attach a photo if it helps, then save.
  5. 5Move tasks along as they progress and add notes as you go.

MOVING A TASK ALONG. The small round icon on a card is both the stage it is in and the way to change it: tap it and pick Open, In Progress or Completed. It goes both ways, so reopening something is the same two taps. It never moves on a single stray tap - it always asks first.

OPENING A TASK. Tap anywhere else on a card and the full task slides in from the right - description, photo, notes, follow-up and sign-off. On a phone it fills the screen. Close it with the X, by tapping outside it, with the Escape key, or by SWIPING IT BACK to the right - a flick is enough. Scrolling the panel up and down still scrolls it. However you close it, the board is exactly where you left it.

WHAT A CARD SHOWS. Four things: what it is, when it is due, who has it, and their trade or role. A late task shows the days it is overdue in red. A finished one shows the date it was done instead - finished work is never late.

MORE THAN ONE PERSON ON A TASK. Assign To takes as many people as the job needs - pick somebody, pick another, and each one shows as a chip you can take off again. Crew and subcontractors can be on the same task: switch between the two lists with the buttons above the picker. Somebody already on the task stops being offered, so you cannot add them twice. Leave it empty and the task reads Unassigned.

IT IS STILL ONE TASK. Three people on a punch item means three people who can do it, not three separate jobs - any of them can move it to Completed and it is done for everybody. Everyone on it is told when it is assigned, once each, even if somebody is both on your crew and at the sub you picked. Where a SPECIFIC person has to put their name to the work, that is Sign-off further down the task, which is a different thing and still asks one named person.

WHO FINISHED IT. A completed task now says who ticked it off and when - which is the only way to tell, when several people were on it, which of them actually did the work. Tasks completed before this shipped will not have a name against them; SyteNav leaves that blank rather than guessing.

THE COUNTS ARE THE FILTERS. The row above the board - All, Open, In Progress, Completed, Overdue - carries the number in each. Tap one to show only those; tap it again, or tap All, to come back.

Each column on the board has its own + button, and it adds straight into that column. Press + on In Progress and the task starts as in progress - useful when you are writing down work that is already underway. The form tells you which column it is adding to.

You can create a task straight from a budget/progress line and the two stay linked both ways.
