Plans, prices and what an active project is
What each plan costs, how the free trial works, what counts toward your project limit, and what happens if you run out of scans.
YOUR FIRST 15 DAYS ARE FREE. SyteNav is invite-only: once you are approved you get the whole product on a real job for 15 days, with no card taken and nothing to cancel. Settings → Billing shows exactly where you are - how many days are left, how many active projects you are using, and how many AI scans you have had this month. If you were in the beta before billing existed, your account stays free and that screen says so.
THE TIERS ARE CAPACITY, NOT FEATURES. Every plan is the whole product. You are only buying how many projects can be active at once: up to 3, up to 10, or unlimited. The cheapest plan is not a cut-down version, so there is never a feature you cannot reach because of which plan you are on.
- 1Up to 3 active projects - $99 a month, 150 AI scans a month.
- 2Up to 10 active projects - $299 a month, 300 AI scans a month.
- 3Unlimited active projects - $499 a month, 750 AI scans a month.
Paying annually is ten months for twelve - two months free. The per-month figure and the saving shown beside each plan are worked out from the monthly price, so they cannot drift out of date.
WHAT COUNTS AS AN ACTIVE PROJECT. Only jobs that are running. Complete a project and it stops counting toward your limit while staying fully readable forever - the budget, invoices, daily logs, photos, documents and Job History all stay exactly where they are. Nothing is deleted or archived away when you close a job out.
WHEN YOU REACH THE LIMIT you can move up a plan or close out a finished job. Either way nothing is lost. Jobs that are planning, active or on hold all count; completed and cancelled ones do not, so closing out a finished job frees the slot straight away.
WHAT AN AI SCAN IS. One document read by the AI: a quote, a sub invoice, a receipt, an inspector card, a permit, a submittal or a compliance document. A read that fails never counts against you - you only spend a scan when you get an answer back. The count runs by calendar month and refills on the 1st.
IF YOU RUN OUT OF SCANS, scanning pauses until the 1st or until you move up a plan. Everything else in SyteNav carries on exactly as before - the limit is on having documents read for you, not on running the job. You can always enter the details by hand in the meantime.
SUBCONTRACTOR ACCOUNTS ARE NOT METERED AT ALL. If you signed up as a subcontractor rather than a general contractor, there is no trial clock and no plan to pick - you are a vendor on somebody else's jobs, not someone running them, so none of the limits on this page apply to you and nothing will ever go read-only.
SUBS AND CLIENTS COST NOTHING. Team members are unlimited on every plan, and subs and clients work through links rather than logins, so there is no seat to buy for them and no reason to ration access to the people on site.
THE WORDING OF THESE CAN CHANGE. We edit the copy of our own emails from time to time; what they say may not match this article word for word, but when each one sends never changes without a release note.
IN YOUR FIRST TWO WEEKS we may send the odd nudge about a setup step you have not got to yet - putting a job in, bringing the budget across, getting your people on. They stop the moment you do the thing, and they stop entirely if you have been in the app in the last couple of days. Settings → Notifications → Getting started tips turns them off.
WE WRITE TO YOU BEFORE IT RUNS OUT - three days out, the day before, and on the last day. It goes to whoever at your company can choose a plan, by email and in the bell, and Settings → Notifications → Who gets told is where you change who that is. The app shows the same countdown in a banner over the top of every screen for the last three days, so the screen and the letter never disagree.
There is still no self-serve sign-up. Access is by invite, so the buttons on the public pricing page open a request form rather than a checkout - the 15 free days start once you are approved, not when a stranger presses a button.
WHAT HAPPENS AT THE END OF THE 15 DAYS. Pick a plan in Settings → Billing and you carry straight on. If you do not, the account goes READ-ONLY rather than away: every job, photo, invoice and log stays exactly where it is and stays readable by everybody who could read it before - what stops is saving new work. Choosing a plan turns writing back on immediately, and nothing is ever deleted for non-payment.
