Set up a job that has already started
The order to put an in-progress job into SyteNav, and why that order.
Open any job and there is a "Setup 4/10" chip in the header, next to the team and share buttons. Click it and a panel slides out from the right with the whole list: what is done, what is next, and a link straight to each one. It disappears on its own once every step is done. You can hide it from inside the panel - there is an Undo, and a switch in Project Settings to bring it back later.
THE ORDER MATTERS, because each step makes the ones after it work. Doing the budget before you have said how the job pays means the screen tracks the wrong thing. Adding a sub before there is a budget line gives their bills nowhere to land. Asking for insurance before you have named the sub is asking nobody.
- 1JOB DETAILS. Address and dates. The address puts it on the map; the dates drive the schedule and every "is this late" answer.
- 2HOW THE JOB PAYS YOU. Cost-plus, fixed price, or building to sell. Do this before the budget - it decides whether the Budget tab tracks your markup or a contract value.
- 3THE CLIENT. Who the invoices and the portal are for. Adding them now means never retyping the name onto a document later.
- 4THE BUDGET. Import the sheet you already have rather than retyping it. Everything money-related hangs off these lines.
- 5THE DRAWINGS. Drag the whole set onto the Plans tab at once. Subs quote off these and you can attach them to a request without re-uploading.
- 6THE PEOPLE. Your crew and the client contacts. Anyone on the job can be assigned a task, and only people on the job see it.
- 7THE SUBS YOU HAVE ALREADY AWARDED. Usually the biggest catch-up on a job already under way: each sub, their trade, and what they are contracted for. A subcontract is what makes money Committed, and it is what a bill attaches to.
- 8INSURANCE AND W-9s. After the subs exist, because you are requesting from them. One link each, and they upload it themselves with no account.
- 9THE SCHEDULE. Even roughly. It drives what shows as late, what the client sees, and the decide-by dates on selections.
- 10THE CLIENT LINK. Last, once there is something worth looking at. One link covers progress, selections and their invoices.
Steps marked "needed" are the ones the job genuinely cannot work without - budget, subs, contract type, client, address. The rest are worth doing but nothing breaks while they wait.
CATCHING UP ON MONEY ALREADY SPENT. For a job that is part-built, add the subcontracts at their full contract value first, then enter the invoices already received against them and approve the ones you have accepted. The budget then shows the true Committed and Actual straight away rather than reading as though the job has not started. Receipts already paid go on Materials the same way.
You do not have to finish in one sitting, and nothing is lost by skipping a step and coming back - the bar keeps count and always points at the next thing.
