Add contacts to your Directory

Keep your subs, suppliers, and contacts in one address book.

QUICK ADD, FROM A PICKER. Anywhere you pick an inspector or a sub you can add one without leaving the form. Two rules: it will not offer to add a name that is already in the list in front of you, and the phone box has to contain a phone number - a surname typed there used to save happily and then appear as a tap-to-call link that dialled nothing. Only the name is required.

WHAT IS ON A CONTACT. Opening one gives you four tabs: Overview (how to reach them), Documents (their insurance and licences), Payments (what they are owed and what has been paid), and Projects (every job they are on). On a phone the four do not fit across the screen - swipe the row sideways to reach the later ones; the faded right edge is the sign there is more.

THE TRADE IS A PICKER, ADDING OR EDITING. A sub is filed under one trade, and that trade is what finds them later: pick Electrical on a quote request and every electrician appears as a tick box. So both forms make you choose from the list rather than type - editing one used to be a free-text box, which is how "Electric" and "Elecric" ended up beside "Electrical", each holding a sub who then did not turn up with the others. If somebody is already filed under something odd, that value stays at the top of the picker until you replace it, so opening their card to fix a phone number cannot quietly refile them.

A sub can only have ONE trade. If yours does two things, file them under the one you hire them for most - and check the counts in the trade dropdown on a quote request now and then: a trade with (1) beside it next to a big one is usually a spelling mistake worth fixing here.

INVITING CONTACTS TO SYTENAV. When some of your contacts are not on SyteNav yet, the top of the Directory shows "Invite N contacts not on SyteNav". It opens a list of exactly those people, all ticked - untick anybody you are not ready to ask, then send. Each one gets the email for a sub or supplier, not the one for a teammate. If some do not go out, the list stays open with the reason beside each name. Contacts with no email address are named underneath so you can add one. To invite, or re-invite, ONE contact, use the ... menu on their card, which also has Edit and Delete. A card that says Invited has an invite out that has not been accepted yet.

THE TABS. Every tab shows how many contacts it holds, zero included. On a phone the row does not fit across the screen - swipe it sideways; the faded right edge is the sign there is more.

DELETING A CONTACT. Open them, or use the ... menu on their card, and use Delete. If they are still attached to something on a job - a subcontract, a bill, a submittal - it will say so rather than deleting the history along with them; take them off those first. A pending platform invite is not a blocker: that goes with the contact.

  3. 3Enter the company/person, trade, email, and phone.
  4. 4Save - they're now available to invite to bids and add to projects.

Awarding a quote adds the winning vendor to your Directory automatically.
